Shipping Policy
Shipping Policy
1. Introduction
Avio-Z is a digital procurement platform providing aerospace, aviation, defence, UAV, MRO, engineering, and industrial materials to business customers in India and international markets.
This Shipping and Delivery Policy explains how orders are processed, packed, dispatched, transported, and delivered to customers purchasing products through the Avio-Z website or through confirmed quotations and other approved business arrangements.
Shipping arrangements may vary depending on product availability, order quantity, product specifications, packaging requirements, destination, transportation method, and applicable regulatory requirements.
By placing an order with Avio-Z, customers acknowledge and agree to the shipping and delivery terms outlined in this policy, together with any additional terms confirmed in the applicable quotation, order confirmation, invoice, or written agreement.
2.Shipping Coverage
2.1 Domestic Shipping – India
Avio-Z offers shipping across India, subject to product availability, destination serviceability, transportation arrangements, and applicable restrictions.
Deliveries may be arranged to business offices, manufacturing facilities, warehouses, MRO facilities, project locations, and other authorised delivery addresses.
The availability of shipping to a particular location will depend on the product, shipment size, transport provider, and accessibility of the delivery address.
2.2 International Shipping
Avio-Z supports international shipping arrangements for eligible orders, subject to destination-country requirements, product eligibility, export regulations, import restrictions, documentation, and logistics availability.
International shipping charges, delivery schedules, customs documentation, applicable duties, taxes, and other related costs will be communicated or confirmed during the quotation or order confirmation process.
International orders may require additional verification, documentation, or special transportation arrangements before dispatch.
3. Order Processing and Confirmation
Orders are processed after the relevant commercial and operational requirements have been completed. Depending on the order, these may include:
- Confirmation of product availability and specifications.
- Acceptance of the quotation or purchase order.
- Verification of payment or approved credit terms.
- Confirmation of the delivery address and contact details.
- Completion of any required technical, regulatory, or shipping documentation.
- Confirmation of any special packaging, handling, or transportation requirements.
An order will be considered confirmed when Avio-Z has acknowledged the order and the applicable commercial requirements have been satisfied.
Submission of a product enquiry or request for quotation (RFQ) does not, by itself, constitute an order confirmation or guarantee product availability.
4. Dispatch Timelines
Dispatch timelines depend on product availability, supplier lead times, order quantities, payment confirmation, and any special procurement or handling requirements.
For products available for immediate supply, dispatch will generally be arranged within the timeframe communicated at the time of order confirmation.
For products requiring procurement, import, manufacturing, testing, special packaging, or other preparation, dispatch will be arranged according to the confirmed lead time.
Orders placed on Sundays, public holidays, or non-working days will generally be processed on the next applicable working day.
Any dispatch timeline communicated by Avio-Z is an estimate unless a specific commitment is expressly confirmed in writing.
5. Estimated Delivery Timelines
Delivery timelines depend on the dispatch location, destination, product availability, transport method, shipment size, customs clearance, and other operational factors.
The estimated delivery timeline, where available, will be communicated during checkout, quotation, or order confirmation.
Delivery timelines may vary for:
- Remote or difficult-to-access locations.
- Bulk, heavy, oversized, or specialised consignments.
- Imported or specially procured products.
- Products requiring special handling or transportation.
- International shipments requiring customs clearance.
- Orders subject to regulatory approvals or additional documentation.
Delivery estimates are indicative and may change due to circumstances beyond Avio-Z’s reasonable control. Where a significant delay becomes known, Avio-Z will make reasonable efforts to communicate the revised timeline to the customer.
6. Shipping Charges and Free Shipping
6.1 Domestic Shipping Charges
Shipping charges, where applicable, will be calculated or quoted based on factors including:
- Shipment weight and dimensions.
- Product quantity and packaging requirements.
- Delivery location and distance.
- Selected transportation method.
- Special handling or freight requirements.
- Any applicable surcharges or additional logistics services.
Applicable shipping charges will be communicated at checkout, in the quotation, or before order confirmation, as appropriate.
6.2 Free Shipping Within India
Eligible domestic orders with a qualifying order value of more than ₹500 are eligible for free standard shipping within India, subject to delivery serviceability and the applicable checkout or order terms.
Free shipping applies to standard shipping arrangements. Special freight, expedited delivery, oversized consignments, or other non-standard logistics requirements may incur additional charges where applicable. Any such charges will be communicated before order confirmation.
6.3 International Shipping Charges
International shipping charges are calculated separately based on destination, shipment dimensions and weight, transport method, product requirements, and applicable export or import arrangements.
International freight, customs duties, import taxes, brokerage fees, and other destination-related charges will be handled in accordance with the terms agreed in the quotation or order confirmation.
7. Product Availability and Procurement Lead Times
Avio-Z supplies products that may be available from existing inventory, sourced from manufacturers or authorised suppliers, imported, or procured against a specific customer requirement.
Accordingly, product availability and lead times may differ between products.
Where a product is not immediately available, Avio-Z will communicate the expected procurement or supply timeline, where reasonably ascertainable, before confirming the order.
For products subject to manufacturer lead times, import requirements, minimum order quantities, or special procurement conditions, the confirmed quotation or order terms will apply.
Avio-Z will make reasonable efforts to keep customers informed of material changes in product availability or expected dispatch schedules.
8. Packaging and Special Handling
Products will be packed using packaging methods appropriate to their nature, size, weight, transportation requirements, and applicable handling instructions.
Certain aerospace, industrial, chemical, adhesive, sealant, coating, surface-treatment, composite, and other specialised products may require specific packaging, labelling, documentation, temperature control, or transportation arrangements.
Where applicable, shipping arrangements will be subject to the relevant manufacturer instructions, safety requirements, carrier conditions, and applicable laws and regulations.
Products classified as dangerous goods, hazardous materials, restricted items, or controlled goods may require special arrangements and may not be eligible for all shipping methods or destinations.
Any additional packaging, handling, or transportation charges, where applicable, will be communicated before order confirmation.
9. Order Tracking and Delivery Updates
Where tracking facilities are available, shipment details or tracking information will be shared with the customer after dispatch.
Customers may contact Avio-Z for assistance with order status, dispatch confirmation, shipment tracking, or delivery-related queries.
Tracking availability and update frequency depend on the transport provider and the shipping method used.
For shipments arranged through freight or logistics providers that do not offer online tracking, Avio-Z will provide shipment information where reasonably available.
10. Delivery Address and Customer Responsibilities
Customers are responsible for providing accurate and complete shipping information, including:
- Company or recipient name.
- Complete delivery address.
- PIN code or postal code.
- Contact person’s name and telephone number.
- Delivery instructions, where applicable.
- Any site access, security, appointment, or receiving requirements.
Customers should ensure that the delivery location is accessible to the selected transport provider and that an authorised recipient is available to receive the shipment.
Delays, additional charges, failed delivery attempts, or return-to-origin costs arising from incorrect addresses, unavailable recipients, restricted site access, or incomplete delivery instructions may be charged to the customer where applicable.
Any request to change the delivery address after order confirmation must be communicated to Avio-Z as early as possible. Address changes may not be possible after dispatch and may result in additional transportation charges or delays.
11. Inspection of Shipments and Transit Damage
Customers are advised to inspect the shipment packaging and delivered products upon receipt.
If a shipment appears damaged, tampered with, incomplete, or inconsistent with the delivery documentation, customers should, where possible:
- Record the issue on the delivery receipt or proof of delivery.
- Take photographs of the packaging, shipping label, and affected products.
- Retain the original packaging and relevant shipping documents.
- Notify Avio-Z promptly with the order number, delivery details, and supporting evidence.
Any shortage, transit damage, incorrect product, or delivery discrepancy should be reported as soon as reasonably possible after receipt so that the matter can be investigated with the relevant supplier or logistics provider.
Avio-Z will review reported issues and coordinate appropriate next steps, subject to the applicable order terms, product conditions, carrier procedures, and relevant laws.
12. Delivery Delays and Exceptional Circumstances
Delivery schedules may be affected by circumstances beyond Avio-Z’s reasonable control, including:
- Delays by manufacturers, suppliers, or transport providers.
- Weather conditions, natural disasters, or other emergencies.
- Transportation disruptions, strikes, or route restrictions.
- Customs inspections, clearance delays, or regulatory approvals.
- Government restrictions, security requirements, or changes in applicable regulations.
- Incorrect delivery details or unsuccessful delivery attempts.
- Other unforeseen operational or logistical circumstances.
Where reasonably practicable, Avio-Z will communicate material delivery delays and provide revised estimates when available.
Avio-Z will make reasonable efforts to minimise disruptions and coordinate with the relevant parties to facilitate delivery.
13. International Customs, Duties, and Documentation
International shipments may require commercial invoices, packing lists, certificates, declarations, permits, product documentation, or other documents depending on the product and destination.
The customer may be required to provide additional information or documentation to support export, import, customs clearance, or delivery requirements.
Responsibility for customs duties, import taxes, brokerage charges, clearance fees, and other destination-related expenses will be determined by the terms agreed in the applicable quotation, order confirmation, or shipping arrangement.
International shipments are subject to the export and import regulations of the countries involved. Certain products may be restricted, controlled, or prohibited for shipment to particular destinations or end users.
Avio-Z may defer or decline shipment where required documentation, approvals, or regulatory conditions cannot be satisfied.
14. Order Changes, Cancellation, and Delivery Refusal
Requests to modify or cancel an order should be submitted to Avio-Z in writing as early as possible.
Changes or cancellations may not be possible once procurement, manufacturing, special packaging, shipment booking, or dispatch has commenced.
Orders involving specially procured, imported, customised, or made-to-order products may be subject to specific cancellation conditions communicated at the quotation or order confirmation stage.
If a shipment is refused or returned because of incorrect delivery information, an unavailable recipient, failure to complete required formalities, or other reasons attributable to the customer, additional freight, handling, storage, or return charges may apply where permitted by the agreed order terms.
Nothing in this section limits any cancellation, return, refund, or other rights that may be available under applicable law or the relevant order agreement.
15. Products Requiring Special Procurement or Documentation
Certain products may require additional lead time, technical verification, manufacturer confirmation, regulatory documentation, or special transportation arrangements before dispatch.
For such orders, Avio-Z will communicate the applicable requirements and estimated timelines as part of the quotation or order confirmation process, where relevant.
Customers are responsible for providing accurate technical requirements, end-use information, permits, or other documents required from them to facilitate lawful supply and delivery.
16. Shipping Policy and Order-Specific Terms
This policy describes Avio-Z’s general shipping and delivery practices.
Specific shipping charges, dispatch dates, estimated delivery dates, packaging requirements, payment conditions, delivery terms, and other order-specific arrangements may be set out in the applicable quotation, order confirmation, invoice, purchase order acceptance, or written agreement.
Where specific shipping or delivery terms have been expressly agreed in writing for an order, those terms will apply to that order to the extent of any inconsistency with this general policy, subject to applicable law.
